Reporting to the People & Operations Leader your responsibilities include

  • Anticipates the needs of the executive leadership team in a dynamic environment while managing calendars of the Chief Executive Officer, People & Operations Leader, and Vice President
  • Secures reservations and travel arrangements, schedules meetings, and prepares for guests
  • Executes monthly bookkeeping functions including account reconciliations, post payables, receivables, journal entries, and prepares monthly financial reports
  • Activates modules in the Human Resources Information System (HRIS), coordinates payroll functions (T4’s, deductions, remittances, ROEs, etc.), and processes bi-weekly payroll
  • Proactively manages office supplies inventory and telephone system, and coordinates mail and couriers
  • Liaises with information technology support service for new employee setup and ongoing troubleshooting, occasionally connects with property management crew
  • Performs additional general office and administrative duties as assigned

What you need to succeed

  • 5+ years of professional executive administration experience
  • College education in Business Administration or related field (formal accounting or bookkeeping education an asset but not necessary)
  • High level of comfort leveraging digital tools seeking efficiencies and automation
  • Proficiency in Microsoft Office Suite 365 (Outlook, Word, Excel, PowerPoint, SharePoint)
  • Manage and develop self while modeling qualities of bold, real and impact, and contributes to an internal and external environment of collaboration, connectedness, and networks
  • Keen sense of organization, time management, and prioritization capabilities with incredible attention to detail, concise, driven, flexible and committed
  • Articulate with strong oral and written communication skills and operate with professional discretion
  • Proficiency in and technical literacy of accounting software (QuickBooks) and payroll software (ADP or Payworks) an asset but not necessary
  • Valid driver’s licence, access to a vehicle, and resides in Elgin, Huron, Lambton, Middlesex, or Oxford County
